What is FloorPilot?
FloorPilot is an event operations command layer that connects preparation, run sheets, documents, crew access, live incidents, zones, municipality collaboration and after-action reporting in one controlled event record. FloorPilot is not a ticketing, financial or permitting system, and it does not replace professional decision-making.
Who is FloorPilot for and what problem does it solve?
FloorPilot is built for event organisers, operations managers, security organisations, venues, production partners, and municipalities or public partners. It solves scattered documents, loose chat groups, conflicting versions, unclear readiness, lost incident context and slow after-the-fact reconstruction. A municipality can be a stakeholder, pilot partner or contracting organisation, depending on procurement and the operating model. FloorPilot supports collaboration and information exchange around event operations. FloorPilot does not replace a municipal case, permit or decision-making system. Official decision-making remains with the competent authority.
What are the main benefits?
One current operational version, insight before go-live, need-to-know crew access, a clear owner and status per incident, an audit trail, reporting built during the operation itself, and a controlled version per stakeholder.

Four stages: prepare, review and collaborate, control live, and prove and improve. Concretely: 1) set up the event, 2) add the run sheet, documents, roles, zones and contacts, 3) assess readiness, 4) give crew access and a briefing, 5) follow incidents and actions live, 6) record key changes and decisions, 7) deliver a report and improvement points.
What does FloorPilot cost?
Pilot from €1,250 excl. vat, Platform from €349 per month excl. vat, with custom work, integrations, equipment and event-window support on request. The final price depends on the number of events, users, organisations, modules and setup required.

General questions and pilot requests get a response within one business day at info@wearefloorpilot.com. During an active pilot or platform agreement, regular support applies on business days, 09:00–17:00 (Europe/Amsterdam), with one named point of contact. Event-window support during an event is only available when explicitly stated in the proposal or agreement, with no standard 24/7 support.

A free introduction or pilot call is free of charge and can be cancelled or rescheduled at no cost. For a paid pilot, implementation or custom work, the signed proposal is leading: cancellation must be in writing, work already done and reserved capacity may remain payable, and a refund exists only when agreed. A platform subscription follows the terms in the signed order form.

Does crew need to download an app?
No. Crew join through a QR code, invite or role code/PIN in their mobile browser. The crew app can be added to the home screen as a Progressive Web App, but no app-store download is required.
Does FloorPilot work offline?
The crew app can hold actions locally during brief network gaps and sync automatically once a connection returns. FloorPilot is not designed to run an entire event with no connectivity at all.
Does FloorPilot replace WhatsApp or radios?
No. FloorPilot structures reports, tasks and communication so they get an owner, status and timeline, but it does not replace a radio, emergency or fallback procedure.
Does FloorPilot replace a municipal permit or case system?
No. FloorPilot supports collaboration and information exchange around event operations, but it does not replace a municipal case, permit or decision-making system. Official decision-making remains with the competent authority.
Is medical data shared automatically?
No. Sensitive detail, including medical information, is not shared broadly by default; the organiser decides what goes out.
Can a municipality watch live?
Only when the organiser explicitly shares that, or the municipality is actively part of the collaboration. There is no automatic live view for a municipality.
Who owns the data?
The organisation that enters the data remains the owner of its operational data. FloorPilot processes it on that organisation's behalf.
Can information be exported?
Yes. FloorPilot can produce an operational end-of-event report, including a version prepared for a municipality or client.
Is FloorPilot suitable for smaller events?
Yes. FloorPilot is designed for events of varying sizes; the setup is tailored to your situation.
What support exists during the event itself?
Event-window support is only available when explicitly stated in the signed proposal or agreement, with hours, channel and response targets agreed in advance.

You and FloorPilot review together what worked and agree the logical next step, for example a platform subscription. There is no obligation.
Does AI make safety decisions?
No. AI can support the work, for example by flagging patterns, but it never makes medical, security or governance decisions; a person always confirms.
